What we collect, why, and how we protect it.

Overview

Smart Tools ("we," "us," "our") develops productivity tools for Autodesk Revit, including Smart Keynotes and Material Eyedropper. This policy describes what data we collect, how we use it, and your rights regarding that data.

We collect only what is necessary to operate licensing, deliver the product, and improve the features you use. We do not sell your data. We do not place cookies on your browser or use third-party advertising or web analytics services.

Information we do NOT collect

  • Revit model geometry, project files, drawings, or file paths
  • File names of your Revit projects
  • Keystrokes, screen recordings, or browsing history
  • Cookies or tracking pixels on our marketing pages
  • Third-party web analytics or advertising identifiers

AI Features

Smart Keynotes includes an optional AI assistant that helps draft keynote text. When you use this feature, we send a context block to OpenAI (through our server) so the model can produce a relevant suggestion. The context may include:

  • Revit element categories, family and type names
  • Material names, wall and assembly descriptions, structural usage
  • Level names and the active view name and type
  • Existing keynote text and IDs in the current keynote file
  • Project unit system, project country, and project address (as set in Revit Project Information)
  • Any prompt text you type into the AI dialog

We do not send model geometry, project files, file paths, or file names.

  • Messages are passed through our server in real time and are not stored in our database.
  • We do not use your messages to train models or for any purpose other than returning a response.
  • OpenAI's data handling is governed by their API data usage policy, which states that API inputs and outputs are not used for training.
  • If the project address or any listed field is sensitive for your workflow, disable AI features in Settings to prevent transmission.

We do not use third-party web analytics services, advertising networks, or cross-site tracking tools. Product engagement events (clicks/insertions on Smart Tools suggestions inside the add-in) are counted on our own servers and are not shared with any third party.

Data Storage and Security

  • License and account data is stored in a server-side database hosted on Render.
  • All communication between the Revit plugin and our server uses HTTPS encryption.
  • Authentication is handled via short-lived JSON Web Tokens (JWT) that expire after 24 hours.
  • Payment data is never transmitted to or stored on our servers.

Data Retention

  • License records are retained for the duration of your subscription and a reasonable period after cancellation for billing and support purposes.
  • Machine activation records are retained while the license is active and removed when a machine is deactivated.
  • Trial records are retained to prevent trial abuse.
  • AI chat messages are not stored at any point.

Your Rights

You may request at any time:

  • A copy of all data we hold about you
  • Correction of inaccurate data
  • Deletion of your data (subject to legal obligations)
  • Deactivation of specific machines from your license

Children's Privacy

Smart Tools is a professional software product designed for architects and construction professionals. We do not knowingly collect data from individuals under the age of 16.

Changes to This Policy

We may update this policy as our product evolves. Material changes will be noted on this page with an updated effective date. Continued use of the product after changes constitutes acceptance of the revised policy.
